You can do it by email or regular mail
(Email is the best way.)

 

ALLOW 4 - 6 DAYS FOR YOUR EVENT LISTING TO APPEAR ONLINE - Unless noted otherwise

Your non-profit or charity event or motorcycle safety class or m/c club event
information will be posted free of charge as quickly as possible after receipt.

The site is updated with newly received event listings at least three times
each week.  Events may take place anytime during the calendar year.


We will now list and promote any event by any group
that provides funds or services to
SUPPORT OUR TROOPS.

Please follow instructions below - including putting
"Submit this Event" in the subject line of any email
you send.

Option 1: Submit by email ... (first, please read the 'Special Note' above)
(The email address is listed below.)
 

IMPORTANT !!!! 
Always put
"Submit This Event for _____(date of event)______"
IN THE SUBJECT LINE OF YOUR EMAIL
(or something that clearly identifies your email as being legitimate)
or it will go directly to 'trash' and never be seen.
 

 This site is so large and has so many in-coming and out-going links and so much junk mail that 
we are regularly 'attacked' by worms and virus applications. Therefore, it is necessary
that you put
'Submit This Event for ______(date)______' , or something similar in the subject line 
to help us with our automatic and manual sort of all incoming mail.

ALSO IMPORTANT !!!! 
If you are UPDATING information for an event that is already listed
please put
"UPDATE This Event for _____(date of event)______" 
in the subject line  of your email.  
(It helps us keep things straight.)

If you are emailing a  text-only submission  (not a flyer) 
put the following in the body of your email in the order shown:

 (1)
DATE of the event.
 (2)
Name or kind OF EVENT
 
(3) 'CITY' in which it will be held.
 
(4) Name of the 'SPONSOR'
 
(5) Then put the additional information 
       you would like to have included.... along with
       your email or web site address if applicable.


NOTE:
We will copy and paste your email keystrokes to the 
event information page.



If you are emailing a flyer (in digital form)
include it either as an 'attachment' or 'inserted' in the body of the email
(an 'attachment' is preferred) also ......

Please put a brief text message in the body of the email
containing the name and date of the event
. (So we can later connect up
your email address with the event info, etc. in case we need to send a reply.)

Then you can pretty much forget all the other stuff except for putting 
"Submit Event for ______(date) _______" in the Subject line.

If you have multiple events to submit, send a separate email for each event. 


What kind of file??
JPG, PDF, GIF, MS Publisher* or MS-WORD
DOCUMENTS ONLY PLEASE.
JPG's are the file of choice.   72 or 100 dpi is great!

*MS-Word Users ... Not all versions of MSWord "hold" their formatting when transferring for
web site use. WE STRONGLY SUGGEST that you print your document and then scan it into
a photo format (JPG) and send the JPG. (72 or 100 dpi works fine)... otherwise your formatting
might not be retained.


*Publisher 2003 Users ...
Publisher 2003 files are huge by nature. Here's a Helpful Hint: Once you have
completed and saved your document, then do a "SAVE AS" and in the "Save As Type" box choose the
 jpg format (towards the bottom of the list) ...  send us that file instead of the original Publisher file.


 Horizontal formats (landscape) are not recommended.
Yes, we can (and do) work with them, but keep in mind that in almost all
cases we need to reduce all flyers to about 7 1/2" wide to fit on
the event display page. And when an 11" wide dimension is
reduced to 7 1/2", sometimes the text ... especially small type ...
gets almost impossible to read. Again, we will work with them,
but a standard vertical (portrait) format works best.

If you have multiple events to submit, send a separate email for each event.

We are not always able to send an email reply to let you know your event has been added
 to the calendars.... so if you don't hear back within a week, just check the calendar to see
if your event is there. If it isn't, just let us know.

IMPORTANT NOTICE about SNAIL-MAIL EVENT SUBMISSIONS
 

Snail-Mail submissions require additional lead time for posting
Snail-Mail might take as long as 2 weeks from the time you send snail-mail to
the time we actually get it ... and then get it posted online.
If you have plenty of lead time, fine.
Otherwise, it might be best for you to arrange to have someone create
a digital file for you (as in scan your flier, etc) and have them send it
to us by email.  Email submissions so not get delayed.

Option 2: Submit by regular mail (snail-mail)

You may submit by regular mail to the address listed below.
Remember, events submitted by regular mail are subject to
a delay in posting time up to 3 weeks. (See above)


But first ....

(A) Make certain you include "When, What, Where,
 Who and Why". (We prefer that you send a printed flyer)

(B) If not sending a printed flyer, type the information ... 
and please do not type in all upper case.
(We prefer that you send a printed flyer)

(C)  Include contact information: Name / Phone / address / etc. and
don't forget your web site or email link if your group has one!   
   (We prefer that you send a printed flyer)

(D)  If you have a printed flyer, simply send it! 
  (We prefer that you send a printed flyer)

(E)  If you have multiple events to submit, feel free to send them
all together in one envelope.
 (Yep, you guessed it, we prefer that you send
printed flyers.)
